The Company:

Orsman Design [ODI] is an award-winning design firm for interior and landscape lighting. With offices in Southampton, Manhattan, and Miami, ODI serves clients throughout the United States and internationally.

Role:

The Logistics Specialist will be responsible for managing and optimizing the supply chain operations, ensuring the timely and efficient delivery of materials and products. Coordinate with suppliers and internal design teams to manage inventory and oversee transportation logistics to support our lighting design projects.

Role and Responsibilities:

  • Inventory Management: Maintain accurate inventory levels, track product movements, and ensure the availability of materials for ongoing projects.
  • Supplier Coordination: Liaise with suppliers to ensure timely delivery of materials, negotiate contracts, and manage relationships for domestic and international shipments.
  • Transportation Logistics: Coordinate the transportation of materials and products, including scheduling shipments, tracking deliveries, and resolving any logistical issues. Provide shipping carrier options based on deadlines and site delivery options.
  • Warehouse Management: Coordinate with Warehouse team to ensure that materials are available, easily accessible and ready for distribution based on delivery schedule. Collaborate with the warehouse on proper packaging requirements and instructions and ensure all material is accounted for and easily identifiable within Company premises.
  • Order Processing: Manage the processing of purchase orders, invoices, and shipping documents, ensuring accuracy and compliance with Company policies. Verify quantities with warehouse inventory. Provide Project Managers with updates on shipment requests.
  • Project Management: Maintain master spreadsheet on all fixture requirements per project; coordinate with vendors on estimated shipping dates (ESD); inform Project Managers as to delivery dates.
  • Supply Chain Optimization: Analyze supply chain data to identify areas for improvement, implement best practices, and reduce costs.
  • Expense Management: Run and analyze quarterly shipping expense reports based on carriers, and report findings to the accounting department.
  • Shipping Requests: Handle all shipping requests throughout the Company advising on our policies, options and the most cost-effective method for shipping items.
  • Other : Other responsibilities as assigned

Qualifications and Education Requirements:

  • Bachelor's degree preferred
  • Minimum 2 plus years of experience in logistics or supply chain management; experience with international shipping and customs regulations a plus
  • Experience in the lighting design industry a plus

Required Skills:

  • Strong knowledge of logistics software and systems
  • Must be skilled with Microsoft Office, Excel, and Outlook
  • Excellent organizational and time management skills
  • Ability to handle multiple shipment requests and execute from beginning to end
  • Ability to manage a heavy workload within tight time frames
  • Ability to work independently in a fast-paced environment. Solid judgement required to make the right business decisions
  • Strong interpersonal skills needed to effectively partner with all design team members
  • Demonstrate flexibility to accommodate rapidly changing needs of a growing organization

Additional Information:

  • Ability to work from the Southampton office 5 days a week (Summer Fridays between Memorial Day and Labor Day are remote half days)
  • Role provides a broad salary range to consider individuals with various levels of experience and skill sets. Final compensation will be determined based on an individual’s specific qualifications and commensurate with experience.
