Accounts Payable Role Summary: Responsible for managing the accounts payable process, ensuring accuracy and timeliness in payment processing, and contributing to overall financial efficiency.
What you will do: - Open mail & Print invoices out of A/P Outlook In-box
- Sort by Invoices Vendor and Purchase Orders and direct pay (check request) items
- Apply appropriate stamps (date, vouch, etc.)
- Disseminate receipts into appropriate folders for matching
- Process invoices
- Use a 3-way match and process payment of invoices based on approved terms
- Data entry of 200 plus invoices per week.
- File the processed invoices after payment.
- Apply Use Tax when necessary.
- Resolve invoice discrepancies
- Provide invoice with pricing discrepancy to appropriate manager. Must follow up until acceptable resolution.
- Communicate with vendors to resolve tax discrepancies, obtain proof of deliveries, and any other invoice resolution issues.
- Reconcile vendor accounts and resolve discrepancies in monthly statements.
- Research vendor inquiries and maintain positive relationships with external vendors and internal departments.
- Assist in month-end closing by preparing A/P reports and reconciling accounts.
- Prepare formal request for supplier set-up/change in Maximo.
- Support other accounting functions, including assistance with audits and financial compliance tasks.
- Support the review of raw material scale tickets and resolve issues as needed
- Take initiative in identifying inefficiencies in A/P processes and recommend improvements.
- Protect sensitive information by maintaining confidentiality and ensuring compliance with company policies.

Qualifications What you will need: - Require associate degree or relevant work experience.
- Relevant work experience of 3 years or more is a plus
- Preferred experience with Maximo and Great Plains software
Nice to have: - Excellent written, verbal, and interpersonal communication skills
- Working knowledge of Microsoft Suite and the ability to learn new applications.
- Strong analytical and problem-solving skills
- Must be able to work independently and multitask.
- Well-developed people practice, including strong interpersonal skills, the ability to build lasting relationships, provide recognition and demonstrate integrity and high personal standards.
- Competencies: detail orientated, problem solving, organizational skill.

Working conditions: Friendly office environment with flexible working hours.
Physical requirements: Able to sit at a desk for periods of time, frequently use hands to type on keyboard, answer phones, occasionally reach with hands and arms above the shoulders, and vision abilities.
Schedule: Monday - Friday, 8-hour shift
